3.1.1. Data Aggregation (For commercial, residential, and mixed-use buildings with multiple tenants)

BC Hydro


BC Hydro can aggregate energy usage data for:
  1. Commercial buildings with three or more commercial accounts
  2. Multi-unit residential buildings with five or more residential accounts
  3. Mixed-use buildings that have three or more commercial accounts and five or more residential accounts
If your building does not meet the meter thresholds listed above, BC Hydro cannot aggregate the tenant data, but there are two options available to establish the data exchange for each tenant meter:
  1. Option 1: ask each individual tenant (BC Hydro account holder) at the building to sign off on BC Hydro's third party data authorization form (BC Hydro Form)
  2. Option 2: ask each individual tenant (BC Hydro account holder) at the building to provide you with a copy of their most recent bill, and follow the instructions outlined in Knowledge Base Article 3.1 (Article 3.1 - How to add energy data automatically)

STEP 1 - Before submitting the data aggregation request to BC Hydro, please ensure all of the meters accounting for the building’s total energy consumption have been added to ENERGY STAR Portfolio Manager. If your building is Mixed-Use with both residential and commercial accounts, you will need to determine if the Common Area meters are billed to the residential or commercial accounts. BC Hydro’s video tutorial for Mixed-Use buildings can help you determine the number of energy meters required for your Mixed-Use property in ESPM.

We recommend clearly labeling/naming each Electric meter, and have included four examples below that might match your building’s profile. 
  1. Meter Name: clearly indicate in the ‘Meter Name’ whether this meter represents Aggregated Residential, Aggregated Commercial, Common Area, or other. (Helpful Hint: we recommend including the Property Name in the meter’s name, which can be very helpful for organization if you are setting up the data aggregation for multiple properties at once)
  2. Type: Electric - Grid
  3. Units: select ‘kWh (thousand Watt-hours)’ from the dropdown menu
  4. Date Meter became Active: select a date 36 months preceding today’s date, if the BC Hydro account was active on that date
  5. In Use?: ensure that this box is checked if the meter is currently active

Once the fields are filled in for each ‘Electric - Grid’ meter at your building, click “Create Meters” to save your changes.

Building Example 1: a multi-unit residential building with 5+ residential accounts (request a MURB code with BC Hydro for aggregated residential data) and a common area account


Building Example 2: a commercial building with 3+ commercial accounts (request a COM code with BC Hydro for aggregated commercial tenant data)

Helpful Hint: for commercial buildings, the COM code that is provided by BC Hydro will include the electricity data from the Common Area meter, so you do not need to add a second Electric meter to capture the Common Area electricity consumption

STEP 2 - Once all energy meters accounting for the building’s total energy consumption have been added to your property in ENERGY STAR Portfolio Manager, please visit the BC Hydro website and fill out the online form to request aggregated data (BC Hydro Website).

If you are the building owner, the Aggregated consumption data request form can be found at the bottom of the webpage. If you are a third party completing the benchmarking work on behalf of the building owner, you will need to first fill out the Third party authorization form (BC Hydro Form), ask the building owner to sign the “Authorized by” section, and upload the completed form along with your online request.

If you need data for multiple buildings, please submit a separate request for each.

If your building is mixed-use (residential and commercial), please submit one request for the residential accounts and one request for the commercial accounts.


STEP 3 - Once the data aggregation request has been submitted to BC Hydro, you should receive the requested aggregation codes (MURB, COM, or both) via email within five business days. If the request is more complex it could take longer.

Important: please verify the number of meters included in the aggregation request. If the number does not match what you were expecting, it’s possible that you have not provided all of the street addresses associated with the building, so should re-submit the request to BC Hydro with the missing addresses included.


STEP 4 - Go to the “Sharing” tab in ENERGY STAR Portfolio Manager and click the second button “Share with your Utility or Service Provider for exchanging data”



On the “Share Properties for Exchanging Data” page:

1) Select Web Services Provider (Account)
  1. Select “BC Hydro Web Services” from the dropdown menu

2) Select Properties
  1. Select the checkbox for the properties you wish to exchange BC Hydro meter data with

3) Choose Permissions
  1. Select the radio button next to Personalized Sharing (“Custom Orders”)

On the Share Your Property(ies) page:
  1. Click the radio button for “Exchange Data” for each property. If you are sharing multiple properties with BC Hydro Web Services, you will repeat the following steps for each property.

A window will pop-up to specify Access Permissions for BC Hydro Web Services:
  1. For Property Information, select the radio button for “Read Only Access”
  2. For the Electric meters, select the radio button for “Full Access”; this option grants BC Hydro access to write the monthly energy consumption data into your energy meters
  3. In the Account Number field, type in your BC Hydro Account Number
  4. In the Billing Date field, type in the date of your most recent BC Hydro invoice (the format must be DD-MMM-YYYY)
  5. In the Bill Amount field, type in the amount of your most recent BC Hydro invoice, including the dollar amount and cents
  6. Scroll to the far right of the pop-up, where you will see the field to enter the MURB code or COM code that BC Hydro provided
    1. Note: if BC Hydro provided a COM code, please paste the COM code into the field labeled “MURB Code”
  7. For Goals, Improvements, & Checklists, select the radio button for “No Access”
  8. For Recognition, select the radio button for “No Access”



Under Additional Options:
  1. For the Share Forward option, select the radio button for “No”
  2. Click “Apply Selections & Authorize Exchange”



STEP 5 - Repeat the steps outlined above (in “Step 4”) if you are setting up data aggregation for more than one property. Once all of the access permissions have been set for BC Hydro Web Services, click the blue button “Share Property(ies)” to send the request to BC Hydro.


STEP 6 - Once you have clicked “Share Property(ies)”, it will take a few days for BC Hydro to import the meter data into your property in ENERGY STAR Portfolio Manager. You can check the status of the share request by clicking “Notifications” in the top right corner of ESPM and checking the “Outgoing Requests” tab. Once BC Hydro has accepted the sharing request, the notification should appear in the “Notices” tab.

FortisBC

At this time, FortisBC does not provide whole-building data aggregation for multi-metered buildings. Please contact your Account Manager at FortisBC for questions about gas data aggregation. If you do not have an Account Manager, please contact FortisBC at commercial.energy@fortisbc.com
